Team
Invite teammates from Settings → Team, what an owner and a member can each do, how joining works, what happens when someone is removed or leaves, and which emails the team gets.
Anyone can bring teammates into their Knownwise account, on any plan, Free included. A teammate joins with one click from an email, signs in, and lands in your dashboard with every brand. There is no limit on how many people a team can have: the Pricing page lists Team members as Unlimited under Show every limit.
A team shares one plan. Its brands, questions, runs, fixes and agent budget are counted once for the whole team, not per person.
Owner and member
Every account has one Owner, the person who created it. Everyone else is a Member.
A member sees every brand in the team and can do the work: add and edit brands and questions, start Run now, prepare and approve fixes, connect integrations, make AI client keys, and use the brand agent. Only the owner can:
- change billing (members see Billing but can't change it);
- invite people, resend or cancel an invite, and remove people;
- rename the team;
- delete a brand;
- revoke an AI client key that someone else made.
A brand that is still being set up belongs to the person who started it. Opening the setup wizard picks up your own unfinished brand, never a teammate's.
Invite people
Open Settings → Team. If you are the owner, you see the team name, the members, any open invites and the Invite by email form.
- Name your team. An account starts with a name made from your email address, and invites show the team's name, so name it first. A name can't hold a link or an email address.
- Confirm your own email address if you signed up with email and haven't yet. Signing in with Google counts as confirmed.
- Type up to 10 addresses, separated by commas or new lines, and choose Send invites.
The form reports each address on its own: Invited, Already in the team, Already invited, or Can't invite this address. Knownwise checks addresses the way it checks them at sign-up, so an address on a disposable or invalid domain is refused, and so is one that has bounced or marked our mail as spam. There is also a daily limit on invite emails. If you reach it, the form says so, and you can try again the next day.
Each person gets an email saying who invited them and to which team, with a Join button. Nothing happens unless they click it.
Under Invites, every open invite shows when it was sent and when it works until. An invite link works for 7 days.
- Resend emails the person a new link and starts the 7 days again. The old link stops working.
- Cancel invite kills the link at once.
If an invite bounces or is marked as spam, Knownwise pauses invites for your team for a while. Team shows the date the pause ends. Write to support@knownwise.com if it was a mistake.
Join a team
The link in the invite opens a private page that names the team and who invited you.
- Join with Google signs you in and joins you.
- Use email instead takes you to sign up, or to log in, with the invited address. After an email sign-up, Knownwise first sends a link to confirm the address, and you come back to join once you've clicked it.
- If you are already signed in, the button reads Join as and your address.
The invite is for one address, so sign in with that address. If you are signed in as someone else, the page says so and offers Sign out and use the invited address.
An invite link stops working once it has been used, replaced by a resend, or cancelled, and after 7 days. The page says it has expired, or that the link doesn't work anymore, and asks you to get a new one from the person who invited you.
When you join, you land on the team's dashboard with a one-time note that you joined. The empty account you had is removed.
If you already have an account
For now a person can be in only one account. Joining a team means leaving the account you had, so it only works when that account is empty. If it holds any of these, the page says You already have your own account and doesn't change anything:
- brands;
- a paid plan or billing details;
- site audits or llms.txt files;
- AI client keys, or a website, Google or Bing connection;
- a team you already belong to.
In the first four cases, ask the owner to invite a different address. If you are already in another team, leave it first, then open the invite again.
Remove someone or leave
The owner chooses Remove next to a member under Members. A member chooses Leave team and confirms. Both do the same thing:
- They lose access to the team's brands at once.
- Brands they added stay with the team and pass to the owner.
- Their keys for Claude, ChatGPT and Cursor stop working.
- Fixes, connections and settings stay with the team.
- They get a new, empty Free account and keep their sign-in.
Share links the team has made keep working for anyone who has them until you turn them off, including for a person who was removed. See Report.
The owner can't leave or be removed. To hand a team to someone else, write to support@knownwise.com.
AI client keys
AI client keys belong to the team, and Settings → AI clients lists every key with the name of the person who made it. You can revoke your own keys, and the owner can revoke any. A key stops working as soon as its maker leaves the team. See AI clients.
The brand agent
Each person's conversations with the brand agent are private to them. The notes the agent saves about a brand are shared by the team, and so is the agent's monthly budget. See Brand agent.
Emails
On a paid plan, every member gets the weekly report and the alerts for the team's brands, as long as their own switches are on. New members start with both on. Each person manages theirs under Settings → Notifications, and every email carries a one-click unsubscribe. The 30-day Pause emails doesn't stop these two, since they keep their own switches (Account and notifications).
Billing and trial emails, the Free plan's weekly check, and the emails that guide a new account go to the owner only.
